Who gives feedback
The panel is the interviewer plus any teammates you checked under Also in the meeting when you scheduled it. See Add more people. People you added by email aren’t on the panel, since they have no Hotfix account. Feedback opens once the interview’s end time passes. A canceled interview takes no feedback.Add your feedback
1
Open the candidate
In the inbox, open the candidate’s record. See Candidate
record.
2
Click Add feedback
When you owe feedback, Add feedback is the main button in the details
panel. You can also click the interview’s feedback line, marked Due.
3
Rate the criteria
If the job has interview criteria, they’re a grid with one row each. Pick
Strong no, No, Yes, or Strong yes on a row, and skip any you
didn’t cover. See Rate the criteria.
4
Pick a verdict
Under Overall, pick Strong no, No, Yes, or Strong yes.
There’s no middle option, so the debrief starts from a clear call.
5
Add notes
Write what you saw. Specific moments help the debrief more than adjectives.
Notes are optional.
6
Submit
Click Submit feedback. It stays greyed out until you pick an overall
verdict. The rest of the panel’s feedback shows right away, at the top of
the sheet.
Rate the criteria
A job can list up to 6 interview criteria, like System design or Communication, each with a note on what good looks like. You set them on the job’s Interviews tab. See Interview criteria. When a job has criteria, the feedback form lists them under Criteria, above Overall, as a grid: one row per criterion, with the scale across the top. Rate each on the same scale as the verdict. Every rating is optional, so skip what the interview didn’t cover. Click a rating again to clear it. Only the overall verdict is required. Your form keeps the criteria it was rated on. If someone edits the job’s criteria later, your submitted feedback doesn’t change, and editing it still shows the criteria you rated. A job with no criteria asks for the overall verdict only.Feedback stays hidden until you add yours
While you’re on a panel and haven’t added your feedback, the sheet tells you who has added theirs and who hasn’t, but not what they said. Elsewhere, like the activity feed, their feedback shows as Hidden with a lock. This keeps your take your own instead of anchoring on a colleague’s. Teammates who weren’t on the interview see every verdict and note, unless the job has a hiring team. See Who can read feedback. Ratings on the criteria follow the same rule as the verdict. The activity feed records who added or updated feedback on which interview. Click the row to read that person’s verdict, ratings, and notes, or see that they’re hidden until you add yours. Open feedback opens the whole panel.Who can read feedback
If the job has no hiring team, every teammate can read its feedback, following the rule above. Once it has one, these people can read it:- Everyone on the hiring team.
- Everyone who was on that interview, after they add theirs.
- Owners and admins.
Read feedback on the record
Each ended interview gets one line in the details panel, like Technical on Thu, Oct 1, with Waiting on 1 at its end and a mark for each verdict you can read:
The line says No feedback yet before anyone adds theirs, and Waiting on how many people still owe it. When yours is due, it’s marked Due instead.
Click the line to open the panel’s verdicts and notes.
Compare the panel
When the panel rated criteria and you can read their feedback, the panel opens with a table: criteria down the side, one column per person, and Overall in the last row. A dash means that person skipped it. A row where the panel splits between yes and no is shaded, since that’s usually where the debrief should start.Ask Agent about the panel
In the feedback panel, click Ask Agent to have Agent sum up how the panel landed: where it agrees, where it splits, and what the notes say. With a candidate’s record open, the Agent also suggests How did the panel land on them. Agent only reads the feedback you can see, so while yours is due, the rest stays hidden from it too. Agent doesn’t tell you to hire or reject; you decide.Automate around feedback
Automations can run when feedback is added, when the whole panel is in, or when feedback is overdue. Only a rule on Panel feedback complete can check verdicts, and a feedback rule can’t reject or email the candidate. See Automations. To send feedback to your own tools, use thefeedback.submitted and feedback.completed webhooks.
Find feedback you owe
- The Feedback column in the Inbox shows an icon when an application has feedback. It’s highlighted when yours is due. Click it to open the feedback without leaving the inbox.
- Under Filters > Activity, pick Feedback due from me to list only those applications. You can save it as a view.
- The notification bell rings Feedback due when an interview you were on ends, and Feedback overdue a day later if you still haven’t added yours.
Turn feedback off
Interview feedback is on for every company to start. If your team doesn’t collect feedback in Hotfix, an owner or admin can turn it off under Settings > Interview feedback. While it’s off:- Nobody can add feedback, and it’s hidden from the Feedback column and Feedback due from me filter in the Inbox, the interviews on the record, and the job editor’s Interviews tab, where you set interview criteria. Feedback already in a record’s activity stays there as a line of history, without the verdict.
- Nobody gets Feedback due or Feedback overdue notifications, and the Feedback switch leaves Preferences.
- Automations that run on feedback don’t run, and you can’t add new ones. Turning feedback back on starts them again.
- The
feedback.submittedandfeedback.completedwebhooks aren’t sent, and Agent and MCP don’t offer feedback tools.
