Your AI, not Hotfix’s

  • Hotfix sends no applicant data to an AI model. That covers resumes (Hotfix reads their text without a model), answers, notes, email, equal opportunity answers, interviews, and offers.
  • Claude or ChatGPT reads only when someone on your team asks, and sees what that person can see: jobs, applications with their resume text and answers, notes, interviews, and offers. What it reads is handled by Anthropic or OpenAI under your account’s terms.
  • It never sees the text of a candidate’s email replies or their equal opportunity answers.
  • You choose Read only or Read and write when you connect an app, and can disconnect it anytime under Settings > Connections > AI apps.
  • Hotfix doesn’t train models on your data.
Every place Hotfix itself runs a model is listed at hotfix.jobs/ai. In Hotfix for Mac, conversations stay on your Mac. Claude and ChatGPT keep their own copy of each session on your Mac too, as they do for any session.

How long applications are kept

An Owner or Admin sets how long closed applications are kept under Settings > Hiring, or asks their agent: Off, the default, or 6, 12, or 24 months. An application closes when you decline it, the candidate withdraws, or you close its job. Hired people are never deleted: their record becomes your HR file, so keep a copy where you keep those. Hotfix deletes applications past the window every night. Turning it on or shortening it first says how many applications are already past it; those are deleted starting that night, and it can’t be undone.

What deleting removes

What’s kept points to nobody, so totals don’t drop as old applications go. Calendar events and Zoom meetings live in your calendar and Zoom, not in Hotfix. The candidate’s own Hotfix account and resume are never touched.

A candidate asks to be deleted

Email support@hotfix.jobs with the candidate’s email and the job, and we’ll handle it.

Your agreement

Your company decides what happens to candidate data, and Hotfix processes it on your instructions. See the Data Processing Addendum.
