A person

A person is someone who applied to one of your jobs. Hotfix keeps their confirmed email, their resume and its text, their apply answers, notes, interviews, an offer, every email sent or received, their activity, and the latest review. The same person applying to two jobs is two people, one per job.

Status

Status moves when a person acts: sending an invite, an offer, or a decline, or recording an answer. Saving a review marks someone Reviewed, but a review never invites or declines anyone. You can’t decline someone who’s hired or has an offer open. Declining someone cancels their interviews that haven’t started and any unbooked link. The candidate sees they’re not moving forward once the decline email is sent.

A review

A review is your agent’s, saved on the person: a suggestion of Good fit, Maybe, or Not a fit, and a short write-up that opens with who they are, quotes their own words for what the job needs, names the gaps, and says what to ask. Hotfix checks each quote against what they sent before it saves. There are no scores, ranks, or counts. Your whole team reads the same review. A change your agent made says which AI it came through, like “Maya Chen with Claude”. See Review applicants.

What Hotfix points out

  • Matching text: words an application shares exactly with another one to the same job, worked out when it’s read and never stored. It’s a fact to mention, not proof of anything.
  • Text addressed to an AI: a resume or answer that asks an AI to rate, rank, or ignore its instructions is flagged.

Notes and assignment

Notes are your team’s; the candidate never sees them. A note can be about one interview, and @ mentions a teammate. Assigning someone to a teammate routes their notifications; it doesn’t limit who can act.

Custom fields

Every application has your company’s custom fields, like a salary expectation or who referred someone, which apply questions can fill in.
