An interview starts as a link the candidate books. It’s on one host’s calendar, with anyone else you pick in the same meeting, and offers only times when every calendar is free. The candidate picks a time on Hotfix, and the invite lands on everyone’s calendar.
  • Defaults: 30 minutes, in the host’s hours on weekdays, with a day’s notice, over the next two weeks. Your own hours are under Settings > Preferences.
  • Meeting: Google Meet or Microsoft Teams from your calendar, Zoom, or a phone call.
  • Stage: Phone screen, Hiring manager, Technical, Final, or Interview.
  • One open link per person at a time. After it’s booked or cancelled, the next round is a new link.
Creating a link doesn’t change anyone’s status. Sending the invite moves them to Interviewing.

Calendars

Each person who hosts interviews connects their own Google Calendar or Microsoft 365, for calendars and meetings only. The interview goes on the host’s calendar, and everyone else in it gets an invite. Hotfix reads the others’ free and busy times as the host’s calendar shows them; someone whose calendar it can’t see is booked around, and Hotfix tells you who. Zoom is one admin connection.

After it’s booked

  • The candidate can move the time until 24 hours before, or cancel.
  • You can reschedule, which sends them a new link to pick from, or cancel. Neither declines anyone.
  • Two business days after a link goes out unbooked, Hotfix sends the candidate one reminder, and never a second. Someone still unbooked five days on shows in what needs you.

Notes about an interview

The panel writes what they found as notes about that interview, on the person’s page. Interviewers write and read only their own; the rest of the team reads them all. There are no scorecards or verdicts, and a job has no fixed interview plan: who’s on a call and how long it runs are chosen when it’s booked. See Interview candidates.
