Sending
Hotfix sends every hiring email itself, from your company’s address on Hotfix’s mail domain, as the person who pressed Send, like “Maya at Beacon”. Nobody connects a mailbox, and anyone on your team can send.- The email is what was written, then the sender’s signature from Settings > Preferences. There’s no Hotfix letterhead.
- A send shows as sending until it’s out. If one fails, it keeps the email with the reason and offers Retry.
- Your agent never sends. It writes drafts, and a person presses Send.
Replies
Each thread has its own reply address. A reply from the candidate comes back to Hotfix, shows on their page, and is forwarded to whoever last wrote, so it lands in your inbox too. A reply to the Application received email, which nobody on your team wrote, shows on their page only. Answer that forward from your own mail and it goes on to the candidate through Hotfix, from your company’s address, so they never see your own. Auto-replies and spam are dropped. Only threads Hotfix started exist: Hotfix never reads anyone’s inbox. What your agent can read
Your agent sees what Hotfix sent and that a candidate replied and when, but never what a reply says. You read it in Hotfix or in your inbox, and tell your agent if it needs to know.Hotfix’s own emails
Hotfix also sends:- Application received, the moment someone applies
- one reminder to book, two business days after an interview link goes out unbooked
- team invites
