> ## Agent Instructions
> Call them jobs, not postings, listings, or roles.
> To act for an employer, connect to the MCP server at https://mcp.hotfix.jobs/hiring and sign in with a Hotfix account. API keys are for HTTP scripts, not MCP.
> Only describe the routes, tools, and numbers these docs publish. If something isn't documented, say so instead of guessing.
> Webhooks are managed in the app under Settings > Connections > Webhooks. An API key or MCP client can't create or change them.
> Hotfix is the applicant tracking system. Applications land on the job in Hotfix and aren't sent to another ATS.
> Creating a draft, offer, or booking link sends nothing. A person sends the email from Hotfix.

# Privacy and AI

> Where AI reads your hiring data and where it never does, how long Hotfix keeps applications, and what deleting removes.

## Your AI, not Hotfix's

* **Hotfix sends no applicant data to an AI model.** That covers resumes (Hotfix reads their text without a model), answers, notes, email, equal opportunity answers, interviews, and offers.
* **Claude or ChatGPT reads** only when someone on your team asks, and sees what that person can see: jobs, applications with their resume text and answers, notes, interviews, and offers. What it reads is handled by Anthropic or OpenAI under your account's terms.
* **It never sees** the text of a candidate's email replies or their equal opportunity answers.
* **You choose** Read only or Read and write when you connect an app, and can disconnect it anytime under **Settings** > **Connections** > **AI apps**.
* Hotfix doesn't train models on your data.

Every place Hotfix itself runs a model is listed at [hotfix.jobs/ai](https://hotfix.jobs/ai). In Hotfix for Mac, conversations stay on your Mac. Claude and ChatGPT keep their own copy of each session on your Mac too, as they do for any session.

## How long applications are kept

An Owner or Admin sets how long closed applications are kept under **Settings** > **Hiring**, or asks their agent: **Off**, the default, or **6**, **12**, or **24 months**.

An application closes when you decline it, the candidate withdraws, or you close its job. Hired people are never deleted: their record becomes your HR file, so keep a copy where you keep those.

Hotfix deletes applications past the window every night. Turning it on or shortening it first says how many applications are already past it; those are deleted starting that night, and it can't be undone.

## What deleting removes

| Deleted | Kept, without a name |
| - | - |
| Resume and every file they uploaded | The job they applied to |
| Name, email, phone, links, and every answer | The status, like **Declined** |
| Custom field values and the resume's text | When they applied, and when the status moved |
| Notes, reviews, and activity, except status changes | Where they came from |
| Every email sent or received, and drafts | Equal opportunity answers |
| Interviews and offers | |

What's kept points to nobody, so totals don't drop as old applications go. Calendar events and Zoom meetings live in your calendar and Zoom, not in Hotfix. The candidate's own Hotfix account and resume are never touched.

## A candidate asks to be deleted

Email [support@hotfix.jobs](mailto:support@hotfix.jobs) with the candidate's email and the job, and we'll handle it.

## Your agreement

Your company decides what happens to candidate data, and Hotfix processes it on your instructions. See the [Data Processing Addendum](https://hotfix.jobs/dpa).
